Questions and answers
Everything about connecting, permissions, the bot, data and Premium — short and to the point. Didn’t find an answer? Message us on Discord.About the platform
- A CRM and Discord bot for running a community. One system for members and positions, access permissions, reprimands and appeals to lift them, reports and leaves, coins, interviews with call recording, a scheduler, documents, automations and AI member reviews.
- Any community with structure and rules: RP projects and factions, game studios, esports teams, clans, moderation teams and learning communities. Entity names can be renamed to fit you: a faction can become a department, division or track.
- Connecting a server and all working features are free, no card needed. Only Premium is paid — personal profile styling. It doesn’t affect permissions, data or server features.
- In the browser at crm.a-faction.xyz and in the Windows and macOS app — it updates itself and has the same features as the web version. Some actions are available right in Discord through the bot’s slash commands.
- Yes. One Discord account can belong to several servers, and the switcher is in the panel header. Positions, permissions, coins, reports and logs are separate for each server and never add up.
Connecting
- Open the “Connect a server” page and go through four steps: enter your Discord ID or username and the server ID, type the code the bot sends you in DMs, add the bot to the server, then fill in the name, category and your details. It usually takes about two minutes.
- The bot can only message people it shares a server with. Join our Discord server and allow direct messages from server members in your privacy settings, then send the code again. The code is valid for 10 minutes and works once; you can request a new one up to three times in 15 minutes.
- Turn on developer mode: Discord user settings → “Advanced” → “Developer Mode”. Then right-click the server in the list on the left and choose “Copy Server ID”.
- The invite link asks for administrator permissions: the bot gives and removes roles, posts in channels and DMs, creates forum threads and joins voice channels to record interviews. The bot’s role must be above the roles it manages — otherwise Discord won’t let it assign them.
- Right after connecting the panel is empty — that’s expected. The usual order: “Structure” with units and positions, “Permissions”, “Presets” → “Terms”, bot forms and member table columns. The server settings “Overview” shows a readiness percentage and what’s left to do.
- Yes. “Presets” → “Settings” apply a ready-made set: structure, permissions, reprimands, scheduler and other sections, and you can export the current configuration to a file. Guild binding, channels, webhooks and secrets are never copied. An applied set isn’t saved automatically — you can review the result first.
Sign-in and permissions
- Only through Discord: click “Sign in” and approve access. There’s no separate password, so sign-in is always tied to your Discord account. Sessions last a long time — no need to sign in every day.
- Three common reasons: your account isn’t among the server members yet and needs to be registered first; the server isn’t linked to a Discord guild; or the account is blocked — then you’ll see a screen with the reason instead of the panel.
- Two ways: registration through the Discord bot — the /registration command or an application form — or a leader adds the person manually. During registration the person is automatically checked against the blacklist.
- In three layers. The server owner and superusers see everything. Menu section visibility is set by positions and units. Permissions for specific actions — issue a reprimand, approve coins, edit settings — are a separate matrix. The permission audit in a member’s profile shows what exactly that person can do.
- It’s almost always a setting, not a bug. A section is hidden by a visibility rule on the “Permissions” tab, an action button by the permission matrix on the same tab. Seeing a section and being allowed to act in it are different things.
- The protection automatically blocks attempts to bypass permissions, and the block screen shows the reason. A false positive is usually caused by a tab left open for a long time: refresh the page and contact the administration — blocks are lifted manually.
Discord bot
- Roles on registration and removal from a position, reprimands and appeals in forum threads, notifications to organization channels and DMs, forms and selectors, interview recordings. If Discord is unavailable, the action in the panel still goes through and you’ll see a warning about the failed delivery.
- /user — member profile /log — action log /reprimand — issue and lift reprimands /registration — register a member /archive — archive /coins — add or deduct coins /shop — buy with coins /demote — remove from a position /faction_bug — report a bug /help — list of commands Command access is checked against the same permissions as in the panel.
- They are the rules the bot follows in your channels. A form is a message with buttons for applications, a command shows a list or performs an action, a reply is predefined text, and a selector is a menu where each option gives its own answer. Everything is set up in “Form settings”, and channels and roles are picked from your guild’s list.
- The bot can’t see that role or channel: either it doesn’t exist on the server or the bot has no access to it. Check that the bot is on the server and the guild binding in the server settings “Overview”.
- The bot joins the voice channel with a sound cue and records each participant on a separate track, plus a combined mix. The interview card has a player with speech markers, and tracks and the archive can be downloaded. Recordings are available only to your server.
- Yes. The “Webhooks” section has a message builder: title, text, color, fields and image. The finished message goes to the channel you choose.
Managing members
- Reprimand types and their limits are configured in the “Reprimands” section. A reprimand is issued in the member’s profile or with /reprimand, and counters are kept separately for each server. You can turn on escalation: for example, several verbal warnings automatically become a strict one.
- Through an appeal — from the website or from Discord, both land in the same table. An appeal goes through stages: submitted → task → evidence → decision. With sync enabled, every action is mirrored to a Discord forum thread.
- A report is about work done: a leader reviews it and can award points. Leave is an agreed absence with start and end dates, so the person isn’t considered missing. Leave doesn’t lift reprimands and doesn’t pause time in a position.
- The organization’s internal currency. A member requests coins for their work or spends them on what you add to the shop, and a leader approves requests. Every transaction is logged, and the balance is kept separately for each server. The word “coins” can be renamed, for example to points.
- An entry is created through a request and approval, and it either has an expiry date or is permanent. During registration the person is checked by Discord ID and by VK and forum links normalized to one format — so the entry works even if the link was given in a different form.
- A daily grid of time slots that members book, for example for events or shifts. Start, end and step of the grid, blocking of neighboring slots and the click action are configured in the “Scheduler” section.
- No. The log records who did what to whom and can’t be edited — otherwise it would be useless as evidence. Members who leave aren’t deleted either: they move to the archive with their position and reprimand history.
- The panel runs on Moscow time (UTC+3) — both the scheduler and the log. That way the time matches for every member, wherever they are.
Automations and notifications
- “If — then” rules run without a person: leave starts or ends, a blacklist entry expires, a report or coin request waits for a decision, an appeal is stuck, or a member hasn’t appeared in the log or submitted reports for a while. Rules are checked every 10 minutes and fire once per record.
- The member or the leadership — specific people or everyone in a position — in the panel’s bell. A notification can also go to Discord DMs and to a channel: first the organization’s channel if it’s set in “Structure”, otherwise a shared channel for the topic.
- Yes. “Presets” → “Terms” change the labels in the interface: factions, coins, positions and other words. There are ready-made sets for different organization types. Data and permissions stay the same.
- Press Ctrl + K (⌘ + K on Mac) on any panel page. Search finds sections, members of the current server and quick actions.
AI
- It’s an assistant for the panel itself: it tells you where things are configured, how permissions work and what a tab means. It answers from the feature guide, not from your data.
- A button in the profile builds a review of the person’s work for the week, month, whole tenure and discipline, and shows the numbers behind it under the text. Only counters and the nickname are sent to the model — no messages or personal data. You get 2 reviews a day, 10 with Premium, and a fresh review is shown again without using an attempt.
- A review is a prompt for a conversation, not grounds for a decision: the conclusions come from a language model. You can double-check the numbers under the review in the log and profile.
Data and security
- What your community and the member add: nickname and positions, age and social links from the profile, the action log, reports, reprimands and coins, plus the Discord ID and avatar. Details are in the privacy policy.
- Yes, in profile settings: age, Discord ID, social links, avatar and background, game info, coins, achievements and status. Hidden fields are marked in the profile header so it’s clear the section is closed by the owner, not broken.
- Sign-in only through Discord, no passwords. Short-lived tokens with renewal, request forgery protection, rate limits and brute-force blocking. Data access is limited by server on the backend — a member sees only their own server. The channel between the site and the bot is signed, and attempts to bypass permissions are blocked automatically.
- Open the “Sessions” section: it lists every device you’re signed in on, and you can end the ones you don’t need. Just closing the tab isn’t enough.
- The owner does it in the server settings “Overview”, in the collapsed “Danger zone”: freezing, transferring to another owner and deleting are there.
Premium and support
- Personal styling in the panel: nickname color and gradient, avatar frame and glow, badge and title, profile effects, a highlighted table row and exclusive interface themes. Plus 10 AI reviews a day instead of two. Premium doesn’t affect permissions or data.
- In the panel’s Premium section: by card through Donatello or in USDT (TRC20). Premium lasts 30 days and is removed automatically when it ends.
- The panel has a “Support” section: your request goes to the administration with context, and the reply arrives in your Discord DMs. You can also write to our Discord server or to the developer.
